How to Copy Content from Microsoft Word Without Formatting Issues

When copying content from Microsoft Word documents into Mobile Locker's email template content editor, you may notice that the text appears with unwanted styling, strange fonts, or formatting that doesn't match your presentation's design. This happens because Word includes hidden CSS styling codes that can interfere with your content's appearance.

The Problem

Microsoft Word uses complex CSS styling that includes:

  • Custom fonts and font sizes
  • Specific spacing and margins
  • Color codes that may not display correctly
  • Hidden formatting characters
  • Proprietary Microsoft styling classes

When this formatting is pasted directly into the editor, it can cause:

  • Inconsistent text appearance
  • Content that looks different than expected
  • Difficulty editing or reformatting text later
  • Presentation slides that don't match your brand guidelines

The Solution: Paste as Plain Text

To avoid these formatting issues, always use Paste Special when copying from Word:

Step 1: Copy Your Content

  1. Select and copy your text from Microsoft Word as usual (Ctrl+C )

Step 2: Paste Without Formatting

Instead of using the regular paste command (Ctrl+V ), use:

Ctrl+Shift+V (Windows) or Cmd+Shift+V (Mac)

This will paste only the plain text without any of Word's formatting.

Step 3: Apply Formatting Using MobileLocker's Editor

After pasting the plain text, use the editor's built-in formatting tools to style your content:

  • Bold and Italic: Use the B and I buttons in the toolbar
  • Headings: Select from the heading dropdown menu
  • Lists: Use the bulleted or numbered list buttons
  • Colors: Choose colors that match your presentation theme
  • Fonts: Select from the approved font options
  • Alignment: Use the alignment tools for centering or justifying text

Alternative Method: Use Word's "Paste Special"

If you need to copy formatted content within Word first:

  1. In Microsoft Word, select your text and copy it (Ctrl+C )
  2. In the same Word document, right-click and choose Paste Special
  3. Select Unformatted Text or Keep Text Only
  4. Copy this cleaned text (Ctrl+C )
  5. Paste into MobileLocker using regular paste (Ctrl+V )

Best Practices

  • Always preview your content after pasting to ensure it appears correctly
  • Use consistent formatting throughout your presentation by applying styles through the editor rather than keeping Word formatting
  • Test your presentations on the actual devices your sales team will use
  • Create templates with pre-approved formatting to maintain brand consistency

Troubleshooting

Q: I already pasted formatted text from Word. How do I fix it? A: Select the problematic text, copy it, and paste it back using Ctrl+Shift+V to remove the formatting. Then, using the editor tools, you'll need to reapply styling.

Q: The text looks fine in the editor, but wrong in my presentation A: This often indicates hidden Word formatting is still present. Try the paste special method to clean the text completely.

Q: Some characters appear as boxes or symbols A: This is usually caused by special Word characters that aren't supported in web browsers. Paste as plain text and retype any special symbols using standard keyboard characters.
