How to Reduce PowerPoint File Size

Large PowerPoint presentations can be difficult to upload, share, and email. Follow these simple steps to reduce your file size and make your presentations more manageable.


Method 1: Compress Pictures

Images are often the main cause of large file sizes. Compressing them can significantly reduce your presentation size.

Steps:

  1. Select any picture in your presentation
  2. The Picture Format tab will appear at the top
  3. Click Compress Pictures in the Adjust group
  4. Under Compression options, choose:
    • Delete cropped areas of pictures (removes hidden cropped data)
    • Apply only to this picture (leave unchecked to compress all images)
  5. Under Resolution, select Use default resolution
  6. Click OK

Tip: This will compress all images in your presentation at once, not just the selected picture.


Method 2: Remove Image Editing Data

When you edit images in PowerPoint, the original image data is saved so you can restore changes. Removing this data reduces file size but means you can't undo edits later.

Steps:

  1. Go to FileOptionsAdvanced
  2. Scroll to Image Size and Quality
  3. Check these options:
    • Discard editing data
    • Do not compress images in file (leave unchecked)
  4. In Default resolution, select 150ppi or lower
  5. Click OK

Note: Once you discard editing data, you won't be able to restore original images after editing.


Method 3: Embed Only Used Font Characters

Embedding fonts increases file size. If you must embed fonts, embed only the characters actually used in your presentation.

Steps:

  1. Go to FileOptionsSave
  2. Under Preserve fidelity when sharing this presentation:
    • Embed fonts in the file
    • Select: Embed only the characters used in the presentation
  3. Click OK

Why this helps: This embeds only the specific letters and characters in your presentation, not entire font families.


Method 4: Compress Media Files

If your presentation includes audio or video, compressing media can dramatically reduce file size.

Steps:

  1. Go to FileInfo
  2. Click Compress Media
  3. Choose a compression quality:
    • Full HD - Best quality, larger file
    • HD - Good quality, medium file size
    • Standard - Lower quality, smallest file size
  4. Wait for compression to complete
  5. Click Close

Tip: You can undo media compression if needed by clicking "Undo" on the same screen.
