Embed Fonts in a PowerPoint File

Custom fonts can make a slide look different after you upload it to Mobile Locker. If the PowerPoint file does not include the font, the converted pages may wrap or shift. Embedding the font in the file keeps the layout closer to what you see in PowerPoint.

The computer that saves the file must already have the font installed. PowerPoint cannot embed a font it does not have.

Why embed fonts

A brand font is not on every computer. PowerPoint on your computer can still draw it. Mobile Locker converts the file on a server. If that font is absent from the file, and it is absent from the font list named in the next section, the server may use a wider stand-in font. Words that fit on one line in PowerPoint can wrap onto the next line.

Turn on Embed fonts in the file, then save the presentation. Choose Embed all characters (best for editing by other people) when PowerPoint offers that choice. That option keeps the full font in the file. Embed only the characters used in the presentation makes a smaller file, but it is a weaker choice when someone else may edit the deck.

Embedding makes the file larger. If the upload is too big, see How to Reduce PowerPoint File Size.

Fonts already on the server

Mobile Locker can draw the common Windows fonts when the file does not embed them. The names start with that Windows list in Fonts Mobile Locker Can Use in a PowerPoint File.

Embed the font when its name is absent from that list. A brand font is the usual case.

Windows

  1. Open the presentation in PowerPoint.
  2. Select File, then Options.
  3. Select Save.
  4. Under Preserve fidelity when sharing this presentation, select Embed fonts in the file.
  5. Select Embed all characters (best for editing by other people).
  6. Select OK.

Microsoft documents these steps in Benefits of embedding custom fonts and Embed a font in a presentation.

Mac

  1. Open the presentation in PowerPoint.
  2. On the PowerPoint menu, select Preferences.
  3. Under Output and Sharing, select Save.
  4. Under Font Embedding, select Embed fonts in the file.
  5. Close Preferences.

Microsoft documents the Mac setting in Some of your fonts can't be saved with the presentation.

Save and upload

  1. Save the presentation. Use File, then Save, or save a new copy as a PowerPoint Presentation (.pptx).
  2. Upload that saved file to Mobile Locker. Replace the existing presentation if one is already there.

The font setting applies when you save. If you only turn it on and do not save, the uploaded file still will not contain the font.

If a font will not embed

PowerPoint may say that some fonts cannot be saved with the presentation. Two common reasons:

  • The font is not installed on this computer.
  • The font maker does not allow embedding. Restricted fonts, and some older font types, cannot be stored in the file.

If that happens, install the font on this computer and save again. If PowerPoint still will not embed it, ask the font owner for a version that allows embedding, or rebuild the slide with a font that can be embedded.

More detail from Microsoft: Some of your fonts can't be saved with the presentation.

Embedding fonts does not fix a slide that is one pasted picture. If a slide looks correct in PowerPoint but stays tiny after upload, that slide may be an Enhanced Metafile. Save that picture as a PNG, delete the original picture, and insert the PNG. See Paste Special.
