Send a Fax

Faxing is an optional feature for an additional fee. Contact your Mobile Locker account manager to learn more about this functionality.

You can send a fax to an HCP or other recipient from Mobile Locker when your administrator has enabled faxing for your team and for your user account.

Before you send

You need all of the following:

  • Fax permission — Your administrator must set Can send faxes to Yes on your user profile.
  • A fax contact — The recipient must exist in your team's fax contact list with a valid fax number and a recorded permission basis (prior express permission or established business relationship). Contacts without permission recorded cannot be selected when sending.
  • A faxable file — The presentation must be a PDF or PowerPoint file that your administrator has marked Send as fax in the file settings.
  • Page quota — Your team has a maximum number of fax pages. Each send uses the presentation page count plus one cover page.

Open the Send Fax screen

You can start a fax in either of these ways:

From the Faxes area

  1. In the content library, open the menu (drawer) and click Faxes.
  2. Click Send fax, or open Messages or Contacts and click Send fax in the top right.

Direct link: Send a Fax

From a file in your library

  1. Find the PDF or PowerPoint file you want to send.
  2. Open the Share menu (email/fax icon) on the file card.
  3. Click Send via fax.

Mobile Locker opens the Send Fax screen with that file pre-selected.


Send the fax

  1. Recipient — Search for an existing fax contact, or choose Add new contact to create one (you must complete permission fields before sending).

  1. Fax number — If the contact has no number yet, enter a US fax number when prompted.
  2. File — Choose which fax-enabled presentation to send (required).
  3. Message (optional) — If your team has active fax snippets, you can select one. The snippet text appears on the cover page above the required Message ID and unsubscribe instructions.
  4. Review the cover page preview. Every fax includes a Message ID and instructions so the recipient can unsubscribe from future faxes.

  1. Click Send Fax.

After you send

  • Fax delivery can take several minutes. Mobile Locker shows status on the Fax Messages list and detail page.
  • You may receive an email when the fax succeeds or fails.
  • Do not send repeated faxes to the same person unless you have explicit permission. The send screen shows previous faxes to the selected contact as a reminder.

Troubleshooting

Problem What to do
Faxes does not appear in the menu Ask your administrator to enable faxing for the team and for your user.
Contact is grayed out or shows "Permission not recorded" Edit the contact and complete the permission basis fields. See Manage Fax Contacts in this category.
Contact is unsubscribed You cannot fax that number until an administrator resubscribes the contact.
File does not appear in the list The file may not be enabled for faxing. Ask your administrator or see whether Send as fax is checked on the file.
Send button disabled Confirm recipient, file, and permission attestation are complete.
